[00:04] Hi, I’m Ben, Content Tree’s AI spokesperson. I’ll be sharing the challenges our users face and how our SkyPrep Learning Management System can overcome them. Join me to hear their unique stories.

[00:16] “We need more control over who can edit courses and access certain data, but our current LMS doesn’t allow us to customize user roles effectively. Can your LMS allow us to assign specific permissions to users?”

[00:32] SkyPrep LMS offers a flexible permissions and roles feature, allowing you to easily create custom roles and maintain full control over what your users can view and access. To create a custom role with specific permissions, follow these three steps.

[00:46] First, go to the Roles tab and click “Create Role”. Here you can define what each role can do, such as editing courses or updating course progresses. Name the role and describe what you want the users with that role to be able to do within the system.

[01:03] In the permissions section, you’ll find all the available permission categories. Simply check the boxes for the permissions you want to assign to the role. For example, to allow your compliance manager to edit courses, select the “Edit Courses” option. Once you’ve made your selections, click “Create”.

[01:23] Secondly, you need to create a data set to specify where the role’s permissions will apply, such as which courses they can edit or whose progress they can view. To do this, go to the Data Sets tab and click “Create Data Set”.

[01:38] Here, you can specify which items or areas the role can access. For example, if you want to allow a compliance manager to edit compliance courses, name the data set “Compliance”. Then go to the courses. Most options will offer three settings: none, all, and subset. If you choose subset, you can specify specific items the role can access.

[02:02] The rules option enables dynamic filtering, allowing you to assign courses with specific keywords that are relevant to the role. An example of dynamic filtering would be assigning a compliance manager to any course that contains the word “compliance”. You can stack as many rules as needed and decide whether all or just one of them must be met. Once everything is set, click “Create” to finalize your data set. You now have a data set for your specific role.

[02:32] Finally, after creating your role and data set, it’s time to assign them to users. These users are called Power Users. Head to the Power Users tab and click “Create Power User”.

[02:46] Select the user you want to set as a power user, then click “Next”. Choose the role they should be assigned and click “Next”. Lastly, select the data set and click on the “Create Power User” button. Your newly designated power user will now appear in the power users list, complete with the permissions you’ve assigned.
